Make Shelf Ready

  • Affix a label to the front cover that clearly states the non-renewable loan period and fine terms (for loan periods see the Loan Periods & Fines tab at https://library.nic.bc.ca/borrowingservices 

  • Affix a “Reserve” label to book spines, or on the lower right corner of item types without spines. 

  • Insert a security strip. 

Once the items have been selected, and processed with labels, you will process them in batches of item type:  Organize them by item type, i.e., all books in a stack, all DVD’s in a stack, all articles in a stack.   

If you are only processing one item, process it by selecting the correct fields specific to the item type as per the below 6.3 process, "Place Items into Reserve Status"

Articles from Journals:   

  • Check if the article is already on reserve at another campus, in Workflows select: Reserve > Common Tasks > Item Search and Display.   If it is already on reserve, see Additional Copies of Articles. 

  • If the article is a new item, retrieve the hard copy or digital item and reproduce the portion required for reserve, in accordance with NIC’s Fair Dealing Policy.

  • Insert into a clear cover duo tang or sheet protector.   

  • Affix barcode to top left of cover and apply label protector. 

  • Insert a security strip. 

  • Stamp the first page with North Island College stamp, and affix a copyright label 

  • Request call number from the Cataloging Library Technician, including the copy number if required. 

  • Affix a “Reserve” label to the front cover, along with labelling that clearly states: 

If the item for Reserve is ‘owned’ by another campus

  • Email that campus, ask permission to use it as a temporary reserve, identify a return date, and request it be sent to your campus via your intercampus loan account (i.e. ICL-COMOX) with the extended due date.  

  • Once the item arrives, discharge it through Circulation > Transits > Pending Transits.

  • Check the status in Circulation > Common Tasks > Check Item Status.  

  • Place the item into Reserve status. 

  • Make a note to return the item to its home campus at the end of the reserve period.
