Before processing new materials, first verify that the item has been correctly assigned to your campus. In Workflows select: Item Search & Display, scan the barcode and click on vol/copy tab. Check the name of the library is yours. For CV see: LocalPracticesCV > Materials Processing. All other locations should perform the following steps, unless they are already completed:
Affix a barcode to the front of the book at the top left-hand corner.
Place the spine label ½” above the bottom of the book spine and cover with a spine label protector, unless a jacket cover is used.
Stamp the bottom of the title page with an NIC property stamp.
Books with book jackets should be protected with a suitable plastic jacket. The jacket is to be affixed with threaded tape.
A tattle-tape (security strip) should either be inserted in the spine of the book or between 2 pages towards the back of the book. Pencil the letter “S” in the lower right corner of the first page of the book to indicate security stripping has been done.
Sensitize item.
Add Reserve, Reference or Graphic Novel stickers to the spine when applicable.
Paperback books can have the spine and edges of their covers reinforced with laminate.
CDs and Disks accompanying books are kept in their pocket in the back of the book (there will be some exceptions to this rule). A label indicating the book includes a CD/Disk should be affixed to the front of the book. Note: CD/Disks should be removed before sensitizing / desensitizing the book.
DVD Case:
Place the Barcode on the front of the DVD case in the top left-hand corner.
For any media item costing over $50, affix “Replacement cost: $XX” sticker to the front of the DVD case in the top right-hand corner.
Place the spine label on the paper insert ½” above the bottom. If the insert cannot be removed or accessed, place the spine label ½” above the bottom of the case spine and cover with a spine label protector.
Any restriction stickers are to be affixed to the front of the DVD case (usually done by Tech. Services).
Affix label to the front of the DVD case: “See Circ desk for Disc”
Remove the DVD from the case.
File the case on the shelves with the other videos.
DVD:
With a fine point permanent marker write: “NIC Library” on the front of the DVD (usually done by Library Tech Services).
Write the barcode on the front of the DVD (usually done by Tech. Services).
Add a copy of the spine label to a DVD sleeve, then file the DVD in this sleeve in the DVD basket at the circ desk.
When new or replacement equipment, such as headphones, phone chargers, Daisy readers etc. are obtained let tech services know so that Brief Records can be added to the collection. Do not attempt to create a Brief Record yourself. These brief records are permanent in nature and will be removed by the cataloguers as the need arises.
Use your best judgement when processing equipment. Does it come with its own case? Should it be put in a plastic storage bag? If a barcode can be affixed directly to the item then that is the preferred location, if the item is too small then affix it to the case/plastic storage bag. If the item includes multiple pieces include a label indicating how many pieces the item contains.
Journals and Magazines do not receive barcodes.
Stamp front cover of journals with an NIC Library stamp, a ‘Library Use Only’ stamp, and a ‘Received’ stamp indicating the date it was received.
Insert a security strip between any 2 pages.
Place Item ID label on front.
Sensitize item.
