Faculty can pre-book media items to show in class at a future date via the Library > Services > Faculty > Media Bookings – Library Catalogue.
Check for new requests a few times per week:
In Workflows select: Requests > Display Requests or Modify Requests
Search for: leave blank
Index: Request ID
Request Type: ITEMREQ
Status: NEW
Service Library: select your campus from the drop-down list
User Requests: ALL
Click the Search button
Highlight the first request in the list and click on the Continue button.
Check pick-up location, then use the Red Book icon in the upper left corner to check catalogue for item availability. When done close this screen (called Display Request: Bibliographic Info…). Note: If multiple campuses are listed for a requested item, the staff that opens the request first with holdings at their campus processes the request immediately.
If the item requested is available at your campus, then proceed with the steps outlined below; otherwise, click Return to List to continue viewing the list of new requests. Note: Do not modify a new request unless it is available at your campus
Click Modify button, then click the Reply tab, change Status to HOLDPLACED and change Service Library to your library. The reply date will automatically update with today’s date.
In the Reply box type in standardized response. Replies can be viewed by the patron under My Account in the OPAC so please use standardized responses. See: standardized responses.
Click on Modify again, then Return to List and repeat steps 2-5 for the next request.
Media items with a future show date (i.e. a month away), banner the item with a Reserved Media banner and record as appropriate at your campus. i.e. on media calendar, in media binder. Then return item to stacks, to be pulled and sent closer to actual show date. All NIC requests that are booked for any NIC campus are sent out 7 days prior to the show date.
Note: if item is currently at another campus / institution but will be available for the future show date place a hold on the item:
If showdate is soon, place hold in instructor’s name at instructor’s campus so item goes directly there.
If showdate is later, place hold in your own name so you can banner appropriately. (Remember to remove your hold on it after it arrives).
If item will be unavailable, suggest to instructor a change of showdate or a Media request.
For any request we are unable to fill i.e. missing, or already booked for that date, the library staff who initiated the process must contact the instructor directly (local and/or long distance) to advise them. A request should be processed from start to finish by the same staff member.
Check the item out to the pick-up campus.
In Workflows select: Circulation > Common Tasks > Check Out, insert User ID for the campus requesting the loan:

CAM-ICL (Campbell River intercampus loan)
PTA-ICL (Port Alberni intercampus loan)
PTH-ICL (Mixalakwila intercampus loan)
Scan item barcode and Workflows will automatically sign the item out for 6 weeks.
Desensitize media item and, if not already done, affix a Reserved Media banner. Send by inter-campus mail to other campus libraries.
1. Discharge once. In Workflows select: Circulation > Discharging so that the item is signed-out to ICL. The media item can now be signed out to the requestor. Note: If the name of the requestor changes while ‘in transit’ this could mean that the hold for the original requestor expired. Check with the original requestor to see if they still need the item before forwarding to next requestor.
2. Contact requestor – advise that item is ready to be picked up for their XXX show date.
3. When the user returns it, discharge twice, so that Workflows prompts you to return it to the lending campus library.
Requests are removed from the system in bulk by Tech. Services.
In Workflows select: Requests > Display Request
Input Request ID # or change Status to Hold Placed and change Service Library to your library then search the list or click Current if appropriate request # is displayed there.
