E: Library Book Shipping Tool

The Library Book Shipping Tool is a special Canada Post program that allows libraries to mail books at a dramatically reduced price, with free return shipping included. The library book rate is for mailing books only, not for videos/DVDs, tapes etc. 

Maximum weight is 5kg for bound books and 3kg for non-bound books.  

  1. Prepare the book(s) for shipping in a padded envelope or box but do not seal shut. 

  1. Weigh the package in kilograms (not pounds), rounding the weight up at the second digit after the decimal point. E.g. 1.376 = 1.38   or .722 = .73.  The scale cannot weigh more than 10#’s so packages over this amount will have to be broken down into smaller packages.

To prepare the shipping & return labels: 

Go to the shipping tool at: https://libraryshippingtool.ca/en/canada-post-tool/ 

  1. Click on “Ship Now”

  1. Click on: Ship in Canada logo 

  1. Fill in the form provided with complete addresses. To retrieve addresses:  

  • Click on: Retrieve from Address Book (near top of page) 

  • Type in institutions full name  

  • Select province from drop down menu 

  • Hit: Search 

  1. Enter the weight in kilograms. 

  1. Dimensions for the parcel need to be entered. Length, width and height of the item. 

  1. “Document” can only be used for flat letter mail. 

  1. Service: Library Materials 

  1. E-mail notification and reference #: leave blank 

  1. Method of Payment: stamps 

  1. Click the Calculate button to automatically display the cost of the shipment. 

  1. Click on: Print Label – make sure the label is set to print in “landscape” format. 

  1. At this point a box will pop up asking you to press OK to confirm the postage metered amount: Press OK 

  1. Print this label by clicking on the printer icon ½ way down the screen. 

  1. Click on: Generate a Return Label button and also print this label. 

  1. Enclose the Return Label inside your package of books and seal the package. 

  1. Cut the shipping label in ½ at the dotted line, and attach the top ½ of the shipping label to your package.  Add your stamps at the bottom of label. Do NOT cover the barcode on the label with tape.  It is now ready for the mail room. 

  1. The lower ½ of the shipping label is attached to your copy of the original request as it has the Item ID of Your Parcel number on it which may be necessary for tracking purposes if the parcel is lost.  If you shipped more than 1 item in the package write the ID number on each request.   

  1. File the requests, with the attached ½ shipping label, as per usual.  (Note: if there is no paperwork, just write the request number(s) and date on the ½ shipping label and file the shipping label).

Note: in the past we have also ordered labelopes through Purolator, the same as other Purolator supplies, and gotten them for free. 

Another supplier of self-adhesive pockets similar to labelopes is Staples.  Under “shipping supplies” they are called “packing list envelopes”.
