NIC Library Manual

Faculty & Reserve Item Information

  1. Your campus’ Reserve Library Technician requires the following information from the Instructor before beginning any preparation: 

  • Instructor's full name 

  • Confirmation that the Instructor has an NIC employee number *See 2. below 

  • Course ID exactly as it appears in the NIC calendar.*See 2. below 

  • The start and end date of the overall reserve period for the course, or course section. 

  • Confirm loan length for item types, by referring Instructor to the Loan Periods & Fines tab at https://library.nic.bc.ca/borrowingservices 

  • Book type reserve loan periods are not noted online.  Allowable loan periods for books are: 1HR, 2HR, 5HR, 1DAY, 48HR, 4DAY, 7DAY loans.  

  • For an Instructor copy: date item is to be returned to them, and any exceptional limitations the library can accommodate. 

  • A list of items, or specific instructions from the Instructor as to the subject content required of the reserve items that the library may pull for the Instructor’s review, confirmation, and reserve.*See 3. below 

  1. Confirm the instructor and course are input in Workflows Reserve module. 

  • Confirm the instructor is registered as patron In Workflow’s Circulation module: 

Select:  Circulation > Display User.   Click the Green “User Search” icon , and search by last name.  If the instructor is not listed as a user, wait overnight for automatic Patron upload.  If still not listed the next day, and it appears they should be, check with Library Tech Services.  Tip do this before making items shelf ready to avoid delay. 

  • Confirm the course is listed in Workflows’ Reserve module:   

Select: Reserves > Course Info > Display Course.  If the course isn’t listed, go to Create Course and input the course name and ID (e.g. ENG-120) as it appears in the NIC website calendar at https://calendar.nic.bc.ca/content.php?catoid=3&navoid=79 

  1. Confirm the reserve items with the Instructor. The campus’ Reserve Library Technician may confirm course reserves with the Instructor by: 

  • providing the Instructor with a Reserve Request form may be found at Teams > Library Services > Shared Documents > Forms

  • the Instructor may provide a list of the reserve topics to the campus’ Reserve Library Technician, who pulls appropriate resources for the Instructor to make an appointment to review and accept.
